A condominium management system brings staff schedules, daily routines, incident reports, notices and supplies into one place, with a login for each person and permissions by role. I, Anderson Barbosa, of ab/, build custom systems like this in Campina Grande, Paraíba, Brazil. The reference case is the platform for the Residencial Mansões Mirante, which replaced five separate systems with a single one.

What slows condominium administration down on paper and in WhatsApp groups

Without a system, administration usually runs on paper, spreadsheets and message groups. Each piece of information lives in a different place: the schedule is on a sheet, the incident arrives as a message, the notice to residents goes out from another group and the stock is only checked when someone looks for the material.

At the Residencial Mansões Mirante, the administration used several separate systems, each with its own login, database and look. The manager had to sign in to each one, repeat the staff registrations and put the information together by hand. The project brought everything into one platform without losing any historical record from the old systems.

What a condominium system needs to include

Every condominium is different, but these are the modules the Mansões Mirante platform covers, and they make a good starting point:

  • Day-off schedule: builds the monthly schedule following the team's rules, shows holidays, records compensatory days for holidays and prints an A4 calendar for the notice board.
  • Daily task sheets: assembles the day's routines by area of the building, with times, saved routines and printing.
  • Incident reports: a public form with a photo to report a problem, an internal dashboard to follow each case until it is solved, and a report ready to print.
  • Notices and weekly newsletter: staff introductions as PDF and image, plus the week's services with photos, sent as a PDF to the residents' WhatsApp group, with protection against duplicate sends.
  • Supplies control: stock in and out, physical counts, restock alerts and barcode reading through the camera.
  • One staff register and access profiles: each employee is registered once and used by every module, and each user sees only what their role allows.

Staff schedules: the team's rules built into the system

The schedule is work that comes back every month, and it is where team rules are most easily lost on paper. At the Mansões Mirante, the system generates the monthly schedule already applying the agreed rules: no days off in a row, a Sunday rotation and a balanced workload across the team. Holidays appear on the calendar, compensatory days for holidays are recorded and the schedule prints in A4 for the notice board.

Online incident reports for the condominium

An incident is only solved when someone records it, follows it and closes it. At the Mansões Mirante, the public form accepts a photo of the problem, the administration follows each report on an internal dashboard until it is solved, and a printable report is ready when needed. The form was built for problems at the residential gym.

Ready-made or custom system: how to decide

A ready-made condominium system can serve a standard routine well. The limit appears when your team's rule does not fit the vendor's model, and the routine starts adapting to the software. A custom system solves that because the rule goes into the code, but it depends on whoever maintains the project, so it needs documentation, tests and an agreed maintenance plan.

PointReady-made systemCustom system

StartUsually faster to contractStarts with a survey and screens approved before any code
DependencyOn the vendor and its changesOn whoever maintains the code, so it calls for documentation and an agreed maintenance plan
DataStored on the vendor's servers, according to the contractStored on the agreed server, with backups before every release
When it makes senseA condominium with a standard routine and few exceptionsA condominium with its own schedules, rules and routines

Limits of a custom system

A custom system costs more at the start and depends on a developer for changes. That is why the package includes documentation and training. The Mansões Mirante platform has 475 automated tests, and backups are made before every release. If the administration does not want to depend on anyone to change anything, a ready-made system may be the right choice.

Privacy for residents and staff: what the LGPD requires

A condominium system stores names, units, phone numbers, photos and the team's work data. This is personal data under Brazil's General Data Protection Law (LGPD, Law 13.709/2018). The law asks that each piece of data has a clear purpose, that only the people who need it can see it, and that the administration can respond to requests from the person the data belongs to.

At the Mansões Mirante, this became a set of controls:

  • private photos and files are only delivered after login;
  • passwords are stored with strong hashing, and the system is protected against CSRF, an attack that makes a person's browser perform actions without their knowledge;
  • integration secrets are encrypted;
  • role-based permissions, so each user sees only what their position allows.

In the published images of the case, names and photos of people are blurred. Before going live, it is worth agreeing with the building manager on who can see each piece of data. This text is not legal advice: the legal basis for each use must be confirmed with a lawyer for the condominium.

How a condominium system project starts

The project starts with a survey of the routines, the registers and the people who will use the system. Only after that do I build, and the screens are approved before the code is written. The system has to work well on a phone: at the Mansões Mirante, the side menu sits on the administration's computer and a bottom bar appears on mobile.

Plena Syndic, a professional condominium management company in Campina Grande, also works with me. Its visual identity and its editable proposal, receipt and email signature templates are in the Plena Syndic case.

How much a condominium system costs in Campina Grande

A custom system starts at R$ 3.900 (Brazilian reais), with no monthly fee, according to the packages page. The final price depends on how many screens, user types and integrations the condominium needs, so it is set after the survey. The package includes login with access levels, export to spreadsheet, training, documentation and 30 days of adjustments.

  • Hosting: on your own server or monthly with me, price to be agreed. The packages page does not list a monthly value.
  • Integration with another system: from R$ 1.800, with no monthly fee.

To compare with a ready-made system, ask for the monthly fee and what is outside the package before you decide. If your administration wants a quote built around your team's rules, talk to me. You can also see the Custom Systems service and the full Mansões Mirante case.

Frequently asked questions

How much does a condominium management system cost in Campina Grande?

A custom condominium management system starts at R$ 3.900 (Brazilian reais) with no monthly fee, according to the ab/ Anderson Barbosa packages page. The final price depends on the screens, user types and integrations, which are defined in a survey before any code is written. Hosting is charged separately.

What does a custom condominium management system need?

It needs the modules the administration uses every day: staff scheduling, daily task sheets, incident reports with photos, notices and supplies control. It also needs a login for each person and permissions by role, so each user only sees what their position allows. The final list comes out of a survey done with the administration.

Does a condominium system have to follow the LGPD?

Yes, when it stores residents' and staff data such as names, units, phone numbers and photos. Brazil's General Data Protection Law (LGPD, Law 13.709/2018) asks for a clear purpose, access only for people who need it, and answers to requests from the data owner. The legal basis for each use should be confirmed with a lawyer for the condominium.

How does staff scheduling work in a condominium system?

The system generates the monthly schedule applying the rules agreed with the team, such as no consecutive days off, a Sunday rotation and a balanced workload. Holidays appear on the calendar, compensatory days for holidays are recorded and the schedule prints in A4 for the notice board. The rules are defined during the survey.

Is a ready-made or a custom condominium system better?

A ready-made system suits a standard routine if you accept adapting your operation to the software. A custom system suits schedules, incident handling or supplies that follow their own rules. It needs documentation and maintenance, and the initial cost is higher. Compare both options before you decide.
