Online booking for a nail designer who works at clients' homes lets the client choose the service, enter the address, see the travel fee and book only a free time slot, without a long chain of messages. This matters more at home than in a salon, because every slot depends on the address, the travel time and the next client. I, Anderson Barbosa, from ab/ Designer Pro in Campina Grande (PB), built this kind of booking for nail designer Nath Rafaeli, and I use that case to explain what a system needs.
Why scheduling over WhatsApp slows down home service
In a salon, the client goes to the professional and the time slot is already in one place. At home, a conversation has to answer three things before a slot exists: where the appointment happens, how long the trip takes and whether the day's schedule fits one more service. When this happens through messages, the professional opens the calendar, checks the address, estimates the travel and replies. Every slow reply is a slot that can be lost or booked twice.
These are the problems that show up most often:
- Double booking: the schedule lives in memory or in a notebook, and two clients get the same answer.
- Forgotten travel time: the time between one address and the next only counts after the slot has already been accepted.
- Add-ons not agreed in advance: baby boomer, encapsulation or hand-painted art change the length of the appointment. If that is not shown before confirmation, the next appointment runs late.
- Missed appointments: without a reminder, the client forgets the date and the day loses an appointment with no warning.
What an online booking system needs
A form with a date field does not organize a home-service schedule. The list below is what was built in the Nath Rafaeli case, and it works as a checklist for comparing any tool.
- Services with a defined duration: each service has its own length, and the schedule holds that time, with the add-ons added on top.
- Add-ons with clear rules: when an add-on changes the time or the value, the client sees it before choosing a time.
- Address and travel fee before confirmation: the client enters the ZIP code and the neighborhood and sees the travel fee. Each neighborhood belongs to a zone, with travel time and fee set in the dashboard.
- Only free times: the scheduling engine considers shifts, booked appointments, blocks, travel time by zone, a break after each appointment and minimum notice. The client only sees times that can really be served.
- Confirmation with a WhatsApp code: the client confirms her own number with a 6-digit code, and only then the time is valid.
- Reminder the day before: the confirmation arrives right after the request, and a reminder arrives the day before.
- Link to view or cancel: the client views or cancels the booking through the link she receives on WhatsApp, without having to message the professional.
- Dashboard with shifts and blocks: the professional sees the day's schedule and manages shifts, blocks, services and staff. Mandatory two-step login, access roles and an audit log protect client data.
The same structure serves other beauty professionals. Services, add-ons, shifts, service zones and staff are dashboard records, so the system can serve a manicurist, a lash designer or a makeup artist who works at clients' homes.
Manual scheduling, a ready-made tool or a custom system: which to choose
There is no single right option. The choice depends on how many clients you see per week, how much travel each appointment needs and how much the booking should look like your brand. The table compares the three routes.
| Criteria | Manual (WhatsApp and notebook) | Ready-made tool | Custom system |
|---|---|---|---|
| Starting cost | None | Depends on the plan chosen on the platform | Custom project, starting at R$ 3.900 |
| Travel fee | Kept in the memory of the professional | Check before buying whether it calculates by neighborhood or zone | Built around the zones and travel times of your city |
| Free times | Depends on checking the calendar at that moment | Check whether it blocks the gap between appointments | Your work rules applied by the scheduling engine |
| Brand and control | None: every reply is different | Limited to the tool's model | Screens, texts and identity follow your brand |
| Dependence | On your availability to reply | On the platform and its plans | On whoever maintains the code, so agree on maintenance in advance |
Ready-made tools such as Booksy and Fresha are booking platforms used by salons and beauty professionals. Before choosing one for home service, check three things: whether it handles the client's address and travel, whether it can block the time between appointments and how much the plan you need costs per month.
A custom system has limits too. It costs more at the start, depends on maintenance and needs someone to update the rules when your work changes. On the packages page, maintenance is R$ 150 per month, and hosting and domain are not included. In return, the system follows the rules of your work, not the other way around.
How much an online booking system costs
The figures below come from the packages page and are a starting point, not a quote. The scope changes with the number of screens, the travel rules and the integrations.
- Company website, up to 5 pages: starting at R$ 2.800. Hosting, domain and ad budget are not included.
- Custom system: starting at R$ 3.900.
Details and the other options are on the packages page.
How the Nath Rafaeli booking was built
Nath Rafaeli is a nail designer who works at clients' homes in Campina Grande, offering gel overlay on natural nails, gel tip extensions, maintenance and gel polish. The booking is part of the website at nathrafaeli.com.br, which went live at the end of a four-day project, from October 11 to 14, 2026, that started with the brand. This text shows how the booking was built and how it works, without results figures. The full case is at Nath Rafaeli.
The booking has five steps, shown here in the order of the site:
- Choose the service.
- Tell us where it will be.
- Choose the day and time.
- Confirm your WhatsApp.
- It's booked, and I'll come to you.
Behind the screen, the project has 711 automated tests run on every release, daily backups with a copy kept off the server and monitoring with WhatsApp alerts. Clients do not see any of this, but it is what keeps the schedule running when the system changes.
Other booking and landing page cases
For Kalyane Santos Studio, an eyebrow design studio in Campina Grande (PB), the booking button sends the client straight to the professional's WhatsApp with a pre-filled message, and an internal chat works as a backup channel when Instagram is down or unstable. The full case is at online booking website.
In a case without booking, the landing page for the Referencial Nail workshop was built to promote and sell spots for the event, present the workshop's benefits and show the payment methods. The Beleza Lucrativa landing page presents a masterclass on managing beauty businesses. Both cases show that a sales page and a booking system solve different tasks.
If you work at clients' homes and want to know whether online booking makes sense for your case, talk to me through the contact form. I work with clients in Campina Grande and with companies across Brazil, remotely, and the conversation starts with what your service needs, before any talk about technology. Frequently asked questions
Does a nail designer who works at clients' homes need online booking?
It is not mandatory, but it helps a lot. A nail designer who works at home loses time when every slot depends on message exchanges and memory. With online booking, the client sees the address, the travel fee and only the free times, and the professional keeps the day's schedule in one place.
How much does an online booking system for nail designers cost?
On the packages page of ab/ Designer Pro, a custom system starts at R$ 3.900, and a company website with up to 5 pages starts at R$ 2.800. Hosting, domain and ad budget are charged separately. The final price of an online booking system for nail designers depends on the screens, the travel rules and the integrations of each case.
How is the travel fee calculated when a nail designer's client books?
In the Nath Rafaeli case, the travel fee is calculated from the ZIP code and the neighborhood entered by the client. Each neighborhood belongs to a service zone, with travel time and fee set in the dashboard. The fee appears before the client confirms the time, so the travel cost is never a surprise.
Does an online booking system work for other beauty professionals?
It does, as long as the service has a defined duration, add-ons and a service area. In the Nath Rafaeli project, services, add-ons, shifts, zones and staff are dashboard records, so the same structure can serve a manicurist, a lash designer or a makeup artist who works at clients' homes. Adapting it depends on the booking rules of each professional.
Is a ready-made tool or a custom system better for booking?
It depends on the type of service. A ready-made tool can be a first step for testing, but you need to confirm that it calculates travel and blocks the gap between appointments. A custom system costs more at the start and needs maintenance, but it follows the rules of your work. Before deciding, write down your services, your travel and the number of clients per week.
